The Challenge

Each creative submits their hours at the end of the week for each project. Keeping track of how much each film production company owed in real-time was being done by a master spreadsheet that was linked to over 200 creatives' hourly-work spreadsheets. This overwhelmed the master spreadsheet and it often crashed. It also meant that the latest information was not available to managers and billing teams on a regular basis.

Before I was contracted

The master spreadsheet attempted to pull data via live links from all 200+ files simultaneously, leading to performance failures. Managers had to wait for weekly exports, missing timely decisions on client billing.

The Data Flow Problem

Each creative maintained their own timesheet. The master spreadsheet crashed under the load of 200+ linked files. Real-time visibility was impossible until week's end.

My presence on the job instantly meant that I would eliminate the crashes and provide real-time visibility. The first thing I did was remove all direct links which overwhelmed the master spreadsheet.

        My solution: Implement a server-based automation where every time a creative closes their timesheet spreadsheet, the data is automatically sent to the master spreadsheet across a secure server.
